What happens when a website visitor asks for a human and nobody is online?

Every "best AI chatbot" list tells you to look for human handoff. None of them show what the visitor sees when they ask for a person and nobody is there. If you run a business with one to three people, that is most of the day.

What are the four moments of a handoff?

  1. The request. The visitor asks for a person, or the bot offers one because it is not sure of the answer.
  2. The availability check. The tool decides whether anyone is available. It might follow a schedule of business hours, a switch you turn on, or whether someone has the app open. How it decides matters, because a switch you forget to turn off leaves visitors waiting for nobody.
  3. Someone is available. How is that person alerted: a desktop notification, a sound, an email, a phone push? How long does the tool wait before it gives up, and what does the visitor see meanwhile?
  4. Nobody is available. What is the visitor told? Does the bot keep answering? Can the visitor leave contact details, and how fast do you hear about it?

The failure to avoid is a visitor left staring at "someone will be with you shortly", with no record of the chat on your side.

What should I check in any tool?

  • How does it know whether you are online, and does that expire if you walk away?
  • What exact message does the visitor see when nobody is there, and can you change it?
  • Does it ask for an email or phone number, and does it insist on at least one?
  • Do you get an email for a missed chat, and how quickly does it arrive?
  • If you reply later, does the visitor get your reply by email, or only if they come back to your site?

How does AI Chat for Website decide whether anyone is online?

There are no business hours. A team member is online when they switch on "Available for live chat" in the portal. The switch lasts two hours and renews while their portal is open, so walking away does not leave you marked as online all evening. Availability covers every website on the account.

What happens when someone is available?

The visitor is told that someone has been asked to join. Any open portal tab shows a desktop notification and plays a chime. If no portal tab is open, a "Someone is waiting" email goes out after 15 seconds, at most once every five minutes per account, and you can switch that email off.

When a team member joins, the visitor's header changes to "You are talking to [name]". If nobody joins within five minutes, the chat becomes a missed chat and follows the path below.

What happens when nobody is available?

The visitor sees your away message, or by default: "Nobody from the team is online right now. Leave your details below and they will get back to you." A contact form asks for a name and an email address or phone number, with a "Not now" button.

The assistant stops answering in that chat. That is deliberate: once a visitor has asked for a person, the bot should not carry on guessing.

You get a "Missed chat" email straight away, with what they need, how they arrived and the full transcript. This email cannot be switched off. When the visitor leaves details, a lead email follows. A lead needs an email address or a phone number. A name on its own is not saved. The widget also has a "Request a call back" link, which sends its own email.

What doesn't it do?

Replies typed in the portal later appear in the widget, and only if the visitor comes back to your site. They are not emailed to the visitor. To answer by email, reply to the missed-chat or lead email: its Reply-To is the visitor's address when they gave one.

The widget's fixed messages, such as the away notice and the form labels, are in English only. The AI's answers follow the visitor's language.

What does a one-person business actually need?

The AI answers routine questions at any hour. Outside working hours, the handoff is there to capture a way to reach the visitor and to tell you straight away. Live chat while you are at your desk is useful, but it is not the point. Pick the tool whose missed-chat path you have tested yourself.
